Move-Out Without Donating Your Deposit

Move-out charges are where properties recover the cost of turn week, and where unprepared families pay for a year of someone else's wear. Here's how the charges actually get assessed, and the checklist that beats them.

Know the real move-out date

Student housing move-out is usually late July, not when classes end, and often a specific hour ("by noon on July 25"). The building needs every unit back for turn week. Miss the deadline and holdover fees start immediately, and they're steep by design. Find the date in the lease and the move-out notice, and put it on the family calendar in March.

How charges are actually assessed

After keys are returned, the property walks every unit with a checklist and a price sheet: carpet replacement, painting, drywall, cleaning, missing furniture, unreturned keys and fobs. Common-area damage in a shared unit is often split among the roommates unless someone claims it. The inspection happens fast, at scale, and mostly without you in the room, which is why your documentation is the whole game.

The charge-prevention checklist

1. Give notice on time. If the lease requires written notice of non-renewal, missing it can auto-renew or trigger fees. 2. Clean to the move-in standard. The standard isn't "looks fine," it's the condition on the move-in form: wipe inside appliances and drawers, magic-eraser the walls, get the bathroom grout. 3. Patch nothing you can't do well. A bad drywall patch costs more than the hole. 4. Photograph everything empty and clean, every room, inside the fridge, the closet, the way you did at move-in. 5. Return every key, fob, and parking pass and get a receipt. Unreturned keys are the most common surprise charge in the building. 6. Leave a forwarding address in writing; deposit-return deadlines under state law start ticking, and they can't pay what they can't deliver.

If a charge lands anyway

Dispute in writing, promptly, and attach evidence: your move-in inspection form and photos next to their charge. "The carpet stain in your photo appears in our move-in documentation dated August 19" wins; "we left it clean, I swear" doesn't. Properties reverse documented disputes all the time, quietly and quickly, because the staff knows which charges will survive scrutiny. If the amounts are large and the property won't move, state deposit law and small-claims court exist, and mentioning them, politely, is often enough.

The summer wrinkle

Lease runs through July but your kid left in May? The bedroom still needs to be in returnable condition at move-out. Either your student comes back to close it out, a roommate's family helps, or you hire a local cleaner for an hour. A $75 cleaner beats a $300 cleaning charge that arrives with no photos and no appeal.
